Project Administrator

Job Description

Project Admin. with Accounting experience.

Duties & Responsibilities:

Employee may be called upon to perform any or all of the following functions:

  • Weekly invoicing:
  • Typing, filing, correspondence, and miscellaneous responsibilities:
  • Perform typing of job reports, quotations, and other documents as required
  • Handle the filing and/or routing of paperwork
  • Coding of AP invoices and process
  • Time reports:
  • Ensure that time reports are submitted to the Sr Vice President and the Payroll Department to meet weekly payroll deadlines
  • Ensure that timesheet information is accurate and meets all Payroll criteria
  • Maintain database, spreadsheet and word processing files as required:
  • Provide support services to the Accounting Department as requested
  • Make travel arrangements (airfare, car rental and hotel accommodations) as needed
  • Customer Service
  • Maintain jobs safety analysis sheets
  • Other duties as required

Qualifications and experience

  • High school diploma or equivalent is required.
  • Associates or Bachelor’s degree in Business or equivalent field is preferred.
  • Three or more years of administrative support experience is required; experience in the construction industry is preferred.
  • Possess skills in the following areas:

    • Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel)
    • Demonstrated attention to detail to accurately complete tasks
    • Ability to define problems, collect data, establish facts, and draw valid conclusions
    • Proven communication skills, both oral and written, to convey thoughts, ideas, and facts to a diverse group of individuals including administrators, technicians, sales, and senior management
    • Ability to prioritize and work in a fast-paced environment to meet all deadlines
    • Ability to work effectively in a team-based environment
    • Flexibility for occasional overtime
    • Take personal responsibility for the quality and accuracy of his/her work
